How do I add inventory?

To manually add tickets for single events, navigate to the “Inventory” tab and click on the “Add Inventory” button. A pop up will appear, allowing you to follow these steps.

Step 1: Choose Your Event

Select event to which you want to upload tickets for. Begin typing your event name, team name, or venue into the search bar. Filter options allow you to search by event date and to exclude parking passes (which are listed as separate line items). You can also choose to exclude your active inventory and only search events you don't currently have inventory for.

If your event is not listed, contact Optimal Support at operations@optimaldistributiongroup.com so we can map the event appropriately in the system.

Select your event by clicking the radio button to the left. Scroll to the bottom of the pop up and click “Next.”

Step 2: Add Inventory Details

Adding inventory to Optimal requires several data inputs. To ensure proper upload and management, please reference the help bubble text next to select items.

Required fields include:
  • Quantity
  • Section
  • Row
  • Low Seat Number
  • Stock Type
  • Internal Notes
  • Tags

Note about disclosures: If a disclosure is shown on your ticket, it must be shared in the “Disclosures” field to avoid cancelled tickets. This includes COVID-19 vaccination/testing requirements. Optimal recommends also adding this information in the “Public Notes” field.

Broadcasting your tickets: This field is set to “yes” by default. If you do not wish to immediately broadcast your tickets, you will need to toggle it off. Note that a ticket price is required for tickets to be broadcast. If no price is set at this stage, tickets will not broadcast, even if this field is toggled on.

Once all fields are added, click “Next” to continue.

Step 3: Assign Purchase Order

Select the appropriate vendor from the drop-down list. Once the vendor is selected, fields will auto-populate based on information from the vendor profile. Click “Save.”

If a price was set and “Broadcast” was toggled on on the previous page, tickets will immediately be broadcast.
